Accessibility Policy

1. Our Commitment

Recordly is dedicated to ensuring that our website, online scheduling portal, and digital services are accessible to all users, including individuals with disabilities. We believe that access to professional legal services should not be limited by physical, cognitive, or technological barriers.
Our commitment reflects both our legal obligations under the Americans with Disabilities Act (ADA), Section 508 of the Rehabilitation Act, and California’s Unruh Civil Rights Act, as well as our core belief that every person — regardless of ability — deserves equal dignity and access to the services they need.
We treat accessibility as an ongoing practice, not a one-time checklist. We incorporate accessibility into our design and development processes and regularly audit our digital properties to identify and address barriers.

2. Standards & Guidelines

Our primary accessibility standard is the Web Content Accessibility Guidelines (WCAG) 2.1 at Level AA, published by the World Wide Web Consortium (W3C). WCAG 2.1 AA is organized around four principles:

Perceivable: Information and user interface components must be presentable to users in ways they can perceive (e.g., text alternatives for non-text content, captions for video).
• Operable: User interface components and navigation must be operable (e.g., keyboard accessibility, sufficient time, no seizure-inducing flashes).
• Understandable: Information and operation of the user interface must be understandable (e.g., readable text, predictable navigation, input assistance).
Robust: Content must be robust enough to be reliably interpreted by a wide variety of user agents, including assistive technologies.

We also reference the Accessible Rich Internet Applications (ARIA) 1.2 specification and align with Section 508 standards.

3. Accessibility Features

We have implemented the following accessibility features across our website and scheduling portal:

Navigation & Interaction

• Keyboard Navigation: All interactive elements are fully navigable via keyboard. Focus indicators are clearly visible at all times.
• Skip Navigation Link: A “Skip to main content” link is available at the top of each page, allowing keyboard and screen reader users to bypass repetitive navigation.
Consistent Navigation: Navigation menus and page layouts are consistent across all pages, reducing cognitive load.

Visual Design

• Color Contrast: Text and UI elements maintain a minimum 4.5:1 contrast ratio for normal text and 3:1 for large text and UI components.
• Resizable Text:
Text can be resized up to 200% without loss of content or functionality.
• Responsive Design:
The site adapts to all screen sizes and orientations without horizontal scrolling.

Content

• Alt Text for Images: All informational images include descriptive alternative text. Decorative images are marked to be ignored by screen readers.
• Form Accessibility:
All form fields have associated visible labels, clear error messages, and descriptive help text. Required fields are identified both visually and programmatically.
• Screen Reader Support:
Pages use semantic HTML5 elements, ARIA labels, and landmarks so screen readers can accurately convey structure and context.
• No Auto-Playing Media:
Audio and video content does not play automatically. Users have full control over playback.

4. Known Limitations

Despite our best efforts, some portions of our digital properties may not yet fully meet WCAG 2.1 AA standards. Known areas we are actively working to improve include:

Third-party integrations: Some embedded tools (e.g., video conferencing widgets, payment processors) are provided by third-party vendors. We are working with these vendors to improve accessibility.
Legacy PDF documents: Some older PDF documents may not be fully tagged for screen reader accessibility. We are reviewing and remediating these on an ongoing basis. Tagged PDF versions are available upon request.
Complex scheduling tables: Calendar and scheduling grid components are being updated to improve screen reader announcements and keyboard navigation patterns.

5. Assistive Technology Compatibility

Our website is designed to be compatible with the following assistive technologies:

Screen readers: NVDA with Firefox, JAWS with Chrome (Windows), VoiceOver with Safari (macOS/iOS), TalkBack with Chrome (Android)
Voice recognition: Dragon NaturallySpeaking and built-in OS voice control features
Keyboard-only navigation: All functionality is accessible without a mouse
Browser zoom: Content remains readable and functional at up to 400% zoom
High contrast modes: Windows High Contrast Mode and macOS Increase Contrast settings

6. Alternative Access & Accommodations

If you are unable to access any portion of our website or scheduling portal due to a disability, we offer the following accommodations upon request:

• Phone scheduling: Our scheduling team is available by phone to assist with booking for users who cannot use the online portal.
• Accessible document formats: Documents can be provided in alternative formats including large print, tagged PDF, plain text, or Word format.
• Email-based coordination: All scheduling, confirmations, and document delivery can be handled via email as an alternative to portal use.
• Captioned video proceedings: Upon request, we can arrange real-time captioning (CART) services for remote depositions to assist participants who are Deaf or hard of hearing.
To request any accommodation, please contact us at least 48 hours in advance when possible.

7. Accessibility in Our Services

7.1 Physical Locations

7.2 Remote Depositions

We support captioning and CART services for remote deposition participants with hearing disabilities. We work with videoconferencing platforms that support closed captioning and screen reader-compatible interfaces. Please notify us of any accessibility needs at the time of scheduling.

7.3 Transcript Formats

Transcripts can be delivered in multiple accessible formats upon request, including tagged PDF, plain text, and ASCII formats optimized for screen reader use.
